This policy explains what data billbot collects, how we use it, and the choices you have. We built billbot to give sellers control over their business, and that includes control over personal data.

2. What we collect

We collect only what is needed to run your store:

  • Account data: your email address and a hashed password.
  • Store data: store name, slug, branding, settings, and staff invitations.
  • Inventory and products: product names, descriptions, prices, stock levels, and the digital items you upload.
  • Order and customer data: buyer Telegram usernames or IDs, order details, delivery status, and payment status.
  • Bot connection: your Telegram bot token, used only to send messages to your buyers.
  • Usage data: basic logs about actions taken inside your dashboard, used for debugging, security, and improving the product.

3. How we use your data

We use your data to:

  • Provide and maintain your account, stores, and dashboard.
  • Process orders, reserve inventory, and deliver digital goods through Telegram.
  • Manage staff roles and permissions inside your store.
  • Handle billing, credit balances, and subscription status.
  • Keep the platform secure and respond to support requests.

We do not use your customer lists or inventory to train machine-learning models, and we do not sell personal data to third parties.

4. Telegram bot tokens

Your Telegram bot token is encrypted at rest and only used to send delivery messages and order updates to your customers. We never share it with other users or use it for any purpose outside your store. You can disconnect or refresh your bot token from the store settings at any time.

5. Payments and billing

billbot uses a third-party crypto payment partner to process credit purchases and subscriptions. We do not store your wallet private keys or full payment instrument details. The payment partner may share transaction identifiers and confirmation status with us so we can add credits to your account.

6. Data isolation

Every store on billbot is isolated from every other store. Inside your store, staff members only see the data their role allows. Owners can view everything; support staff see orders and customers; inventory managers see products and stock. We enforce this with role-based access controls at the database level.

7. Cookies and analytics

We use essential cookies to keep you signed in and maintain your session. We may use privacy-friendly analytics to understand how the platform is used, but we do not track you across the web or build advertising profiles.

8. Data sharing

We share data only with service providers needed to run billbot, such as our hosting and payment partners. All providers are contractually bound to use data only for the services they provide to us. We may disclose data if required by law or to protect our rights, users, or the public.

9. Data retention

We keep your data for as long as your account is active. If you close your account, we delete or anonymize your store data within a reasonable time, usually within 30 days, unless we are required to keep certain records for legal, tax, or fraud-prevention purposes.

10. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data. Store owners can update most information directly in the dashboard. For account deletion or other requests, contact us.

11. Security

We protect your data using industry-standard practices, including encrypted connections, hashed passwords, encrypted secrets, and database-level access controls. No system is perfectly secure, so we encourage you to use strong passwords, enable staff roles carefully, and report any suspected breach to us immediately.

12. Children's privacy

billbot is not intended for users under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with data, contact us and we will remove it.

13. Changes to this policy

We may update this policy as the platform changes. If we make material changes, we will notify you by email or through the dashboard. The latest version will always be available on this page.
